Department The department Legal Affairs – Region Europe is responsible for providing legal support (excluding intellectual property) to all activities of SABIC in Europe . The department operates from four locations, i.e. Sittard (NL), Bergen op Zoom (NL), Amsterdam (NL) and Wilton (UK). The department consists of twelve legal counsels of which six hold office in Sittard. Furthermore, Records Management forms part of the department as well and currently consists of two individuals located in Sittard. The secretarial support to the department in Sittard is being provided by a Legal Assistant and a Secretary, the latter position being vacant at this moment. The Challenge The Secretary is a professional and excellent in management, organizational and administrative support. She is a real team player. She understands the organization and relationships and knows what is relevant and how to set priorities. She is pro-active, anticipating, self-propelling and is able to act independently when necessary. She likes to work with and for a team and is also able to work for several managers. Main tasks: Provide secretarial support to legal counsels and records manager and officer. Organizational Support: Managing of electronic calendar and organizing, monitoring appointments, meetings and conference calls. Booking business trips. Organizing business lunches or dinners. Organizing internal and external events. Administrative Support: Maintaining departmental environment in digital filing system (Livelink/Content Server). Maintaining online SABIC Europe contract data base with metadata and scanned copies of executed contracts. Assist in corporate housekeeping and process basic corporate data in digital system. Keeping up financial and staff administration, sickness and leave days, staff administration directories (addresses and relations). Establishing travel claims and purchasing orders. Communication: Picking up and select calls. Assessing kind, purpose and importance of the call, delegating and independently settlement of the call. Judge if it is necessary to put through the call.
